To be honest, we’ve never done this before so we don’t know how long it’s going to take! We thought we’d give ourselves a couple of hours (with a break for even more cake, tea, beer etc. if necessary) then we still have time for social dancing at the end.
The AGM is open to everyone to attend. Whether you usually dance on Fridays or Mondays, have been dancing for 5 weeks or 5 years we would love for you to come along.
GLH have been running classes in Glasgow for nearly 4 years, and we’ve always been a fairly informal group of people doing dancing stuff because we enjoy it. As we’ve gotten bigger we thought it would be good to get more people in the dancing community directly involved, as I’m sure many of you have ideas about what we should or shouldn’t do to grow our scene and continue to make it friendly and fun.
We’re having our first AGM in order to give all GLH-ers the chance to hear about what we’ve been doing, what we’re thinking of doing, and sharing any thoughts you might have. Whether you come to the classes every week or you’ve only been twice, everyone is welcome to come along and listen or contribute.
We’ll circulate a more detailed schedule nearer the time but we plan to discuss the following:
– Our new draft constitution
– Activities from the past year
– Plans for the coming year and onwards
– Nominations and elections for the committee
– Any other business
As organisers of GLH weekly classes, Alice, Carla and Stuart currently do a lot around the general organisation of GLH, plus there are loads of other people who contribute by teaching, running events, or just generally being helpful and supportive. By introducing an official committee we hope people who would like to contribute in a more formal way have the opportunity to.
The committee will be structured as follows:
Chair (to be elected): Maintains overall responsibility for the administration and day-to-day running of GLH. Chairs the AGM and committee meetings.
Treasurer (to be elected): Keeps a record of monetary incomings and outgoings. Will probably involve some spreadsheets and calculators and trips to the bank.
Secretary (to be elected): General administrative support in all GLH matters. Taking notes and writing up action points at AGM and committee meetings.
If more than one person puts themselves forward for any of the above roles the elected person will be chosen by a simple majority vote. Everyone attending the AGM can cast one vote for each role.
Organisers of weekly GLH classes (i.e. Mondays and Fridays)
The rest of the committee will be made up of the events team, all positions to be elected. This will be at least one and not more than five people, depending on how many are interested! If more than 5 people put themselves forward for the events committee the members will be elected by a simple majority vote. Everyone attending the AGM can vote on the events committee.
Once the committee has been elected members will decide amongst themselves which roles to take on as they arise. This ensures one person is not left having to organise every workshop weekend, for example.
Roles within the events committee will include contacting and booking teachers, organising workshop weekends, organising social weekends, one off social dancers, dancing with a boom box in the street, flyers and publicity and many more things. Everyone in the events and management committee will work closely together to promote, organise and enjoy swing dancing in Glasgow.
Elections to all committee roles are open to absolutely anyone. Even if you’ve only been dancing for a few months it would be great to have you, in fact it would be perfect as you can tell us why you started dancing and what keeps you coming along!
If you don’t fancy actually being on the committee but you still want to get involved then that’s great too. By having a committee and AGMs we hope the whole group is more open and there will be plenty of opportunities for people to get involved and have their say.
